Explained: Role Based Permissions v Individual User Permissions

A guide to understanding the difference between Role Based Permissions and Individual User Permissions

Permissions Settings allow you to manage which users will have access to which features in 1Breadcrumb. There are two ways to manage permissions: Role-Based and Individual User. This article will explain the difference between the two.


Role-Based Permissions

Role-Based Permissions allow you to assign permissions based on a user's role within the organisation. This is done by creating a pre-defined template of settings called Roles.

Once you define the Permissions associated with a certain Role, you can then assign a user that Role, and they will have the same level of access as all other users who have been given that role. The benefits of using Roles include:

  • Easier to standardise across larger teams
  • Used to manage which users can approve SWMS, SDS and Insurance

Individual User Permissions

Individual User Permissions allow you to manually assign different permissions to each individual user as you see fit. They do not involve the use of pre-defined templates.

It is recommended that you use Role-Based Permissions in 1Breadcrumb, but the benefits of using Individual User Permissions include:

  • Greater customisation for each individual user

Permission Modes

When deciding which Permission Mode to use, it's important to know that there are three different permission mode types available to choose from:

  • Individual User Roles Only - Only Individual User Permissions will be used
  • Roles Only - Only Role-Based Permissions will be used
  • Mixed - Both Role-Based and Individual User Permissions will be used (by default, a user will be assigned the higher level of the two permission modes assigned)
